Operations Associate
About the role
Verdacert is a USCIS-certified translation service specializing in Arabic, Farsi, Urdu, Dari, Pashto, Turkish, and dozens of other languages, primarily serving immigrants filing immigration paperwork as well as law firms, universities, and medical providers. We're looking for an Operations Associate to help keep our document pipeline running smoothly - supporting order processing, reviewer coordination, and customer communication so that every translation goes out accurately and on time.
What you'll do
- Monitor incoming translation orders and ensure documents are routed to the correct reviewer queue based on language and document type
- Track order status against delivery deadlines (Standard, Express, Rush, Same-Day) and flag at-risk orders before they miss their window
- Communicate with customers via email regarding order status, document issues, or clarifications needed for translation
- Support reviewer onboarding and scheduling to ensure adequate native-speaker coverage across languages
- Assist with quality checks on finished PDFs, confirming certification statements, formatting, and transliterations are complete before delivery
- Help coordinate add-on services such as notarization requests and USPS Priority mailing
What we're looking for
- 1-3 years of experience in an operations, customer support, or logistics coordination role
- Strong written communication skills and comfort handling customer-facing email correspondence
- Excellent attention to detail, especially when reviewing documents against strict deadlines
- Ability to juggle multiple orders and priorities in a fast-paced, deadline-driven environment
- Comfortable using order management, spreadsheet, or ticketing tools to track work
- Reliable, organized, and able to work independently with minimal supervision
Nice to have
- Experience working with translation, localization, or immigration-adjacent services
- Familiarity with immigration document types (birth certificates, transcripts, court records) or USCIS filing processes
- Basic proficiency in Arabic, Farsi, Urdu, Dari, Pashto, or another language Verdacert supports
